Speciss College respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, store, share, secure and retain personal information when you visit our website, contact us, apply for a course, register as a student, attend classes, engage with our campuses, work with us, supply goods or services to us, attend events or otherwise interact with the College.

This policy applies to Speciss College campuses, departments, websites, online forms, portals, administrative offices and official communication channels. It applies to prospective students, current students, former students, high-school learners, parents and guardians, employees, job applicants, lecturers, contractors, suppliers, visitors, alumni, event attendees and website users.

2. Who We Are

Speciss College is a Zimbabwean private education institution. For privacy purposes, Speciss College is generally the data controller for personal information where it determines how and why that information is processed.

3. Personal Information We Collect

The information we collect depends on your relationship with the College and the service you use. It may include:

  • Identification information: name, date of birth, national ID or passport details, student or employee number, and photograph.
  • Contact information: address, telephone number, email address, emergency contact, and parent or guardian contact.
  • Education information: previous education, qualifications, assessment results, attendance, class records, examination records, and progress reports.
  • Parent, guardian or sponsor information: identity, relationship, contact, authority, billing and emergency-contact details.
  • Financial information: fee statements, invoices, receipts, payment references, sponsor information, debtor information and refund details.
  • Employment information: applications, CVs, qualifications, interview notes, contracts, payroll, leave, performance and disciplinary records.
  • Sensitive information: health, disability, emergency medical, biometric or disciplinary information where lawful and necessary.
  • Website and security information: IP address, browser and device information, cookies, form submissions, portal logs, email metadata, visitor registers, incident reports, CCTV or access records where used and notified.

4. How We Collect Information

We collect information directly from you; from a parent, guardian, sponsor or referee; from previous schools, examination or awarding bodies; from authorised service providers; and from lawful public authorities, regulators, courts or professional advisers where required.

5. Why We Use Personal Information

We use personal information to process enquiries, applications and enrolment; deliver education, assessments and examinations; provide student support; administer fees and payments; communicate academic, administrative, campus and emergency information; comply with legal and regulatory duties; protect people, property, systems and records; administer employment; operate digital services; and conduct lawful marketing or public-relations activities.

6. Lawful Bases for Processing

We process personal information only where we have a lawful basis. Depending on the circumstances, this may include consent, performance of a contract, compliance with a legal obligation, protection of vital interests, legitimate educational or administrative interests, or another basis permitted by Zimbabwe's Cyber and Data Protection Act [Chapter 12:07].

Where we rely on consent, we request specific and informed consent and explain how it may be withdrawn. Where information is required for admission, enrolment, tuition, examination or fee administration, failure to provide it may prevent us from providing the relevant service. We apply additional safeguards where children or sensitive information are involved.

7. Sharing of Personal Information

We do not sell personal information. Where lawful and necessary, we may share it with authorised employees and lecturers, examination and awarding bodies, payment and banking providers, ICT and hosting providers, professional advisers, auditors, insurers, regulators, public authorities, courts, law enforcement, and parents or guardians where appropriate. Service providers acting for us must protect the information and use it only for authorised purposes.

8. International Transfers

Some examination bodies, learning tools, email, hosting or support providers may operate outside Zimbabwe. Where personal information is transferred internationally, we take reasonable steps to ensure that the transfer is lawful, necessary and protected by appropriate safeguards.

9. How We Protect Information

We use organisational, physical and technical safeguards including access controls, confidentiality duties, staff training, secure storage, backups, password controls, supplier controls, incident response and secure disposal. No system is completely secure, but we take reasonable and appropriate measures to reduce risk.

10. Retention

We retain information only for as long as necessary for its stated purpose and applicable education, legal, regulatory, audit, contractual, financial, employment, safeguarding, examination and dispute-resolution requirements. Core academic awards and service records may be archived for long-term verification. Applications, identity documents, routine communications and operational records are retained according to their specific retention schedules and are securely deleted, destroyed or anonymised when no longer required.

11. Your Rights

Subject to applicable law and verification of identity, you may ask to be informed about processing, access your personal information, object to certain processing, correct false or misleading information, or request deletion where legally available. A representative may be required to prove authority. For minors, we may require a parent or legal guardian and will consider the child's best interests.

12. Website, Cookies and Online Forms

Our website may process IP address, browser type, device identifiers, pages visited, access times, cookies, enquiry details and form submissions to operate and secure the service, respond to requests, improve performance and maintain records. Any cookie preference tool will reflect the technologies actually in use.

13. Children and High-School Learners

Where an applicant or learner is a minor, we limit collection to what is necessary and involve a parent or legal guardian where required. Guardians should review this policy and the admissions notice with the learner before information is submitted.

14. Incidents and Complaints

We investigate suspected personal-information incidents and make notifications to affected people and the appropriate authority where required. Privacy concerns and rights requests may be submitted to the contacts below. You may also raise a complaint with Zimbabwe's Data Protection Authority where applicable.
